Choose around your agency’s work

Start with what you sell. Website pitches need site research; product resale needs delivery tools. Phone-led teams should test calling controls.

List sales steps from prospect to signature, then delivery tasks. Check client access, reports and accounts. Confirm the plan covers both lists.

Count people, required plans, onboarding and usage. Per-person pricing grows with seats; account pricing includes a set team size. Minimum spends and yearly commitments also affect totals.

We publish Attunr, listed first here. This compares vendor documentation checked in October 2026 with our product facts. We haven’t timed products or ranked customer results.

Try the same research, call preparation, follow-up, booking and agreement in each CRM. Include delivery handoffs. Use the local lead guide to plan research.

Keep sales and client delivery tests distinct. A good pipeline doesn’t establish that clients can access reports. A client portal doesn’t establish that reps can complete the prospecting task.

Attunr for local research and pitches

Search a service and town for a website sample. Read site-check findings, then make a pitch with suggested fixes and screenshots when capture works. This suits local website, SEO and marketing sales.

Share booking pages and proposals for online signing. Paid sequences use connected mailboxes and stop on detected replies. Calling uses your phone or app; microphone notes need browser support and permission.

Free covers one person without a card or expiry. Starter includes three people: $69 monthly or $48 a month billed yearly.

Team includes ten: $199 monthly or $139 a month billed yearly. Scale includes thirty: $429 monthly or $299 a month billed yearly. These are account prices; see pricing for allowances.

Agency Pro includes everything in Team, client hubs and white label. It costs US$349 monthly or US$244 a month billed yearly. The account covers up to 10 people and 30 clients.

Clients use email codes to see their own posts, SEO, reviews and reports, and send requests. They never see other clients. Your app name, logo, colour and web addresses are included.

Invites, reports and hub emails use your mailbox. Built-in calling is coming soon.

GoHighLevel for subaccounts and resale

GoHighLevel suits selling software access with services. It has subaccounts, local search and prospect marketing reports. Proposals support signatures and payment collection.

Starter is $97 monthly per account with three subaccounts. Standard paid plans have no set user count. Desktop branding is available; branded mobile apps cost extra.

There’s no ongoing free CRM plan. Phone, email and premium AI usage cost extra. Detailed SEO and website performance reports need Premium Prospecting.

Keep client tools that already work while adding prospecting elsewhere. The GoHighLevel comparison explains that handoff.

HubSpot for shared customer records

HubSpot suits shared sales, marketing and service records. Free covers two people and a thousand contacts, with deals and scheduling. Higher tiers add searchable transcripts, coaching and goal reports.

New-customer Starter promotions are $10 per seat monthly or $7 a month billed yearly. The regular advertised price is $20 per seat monthly. Confirm renewal prices.

Sequences need Professional or Enterprise. Sales Hub Professional is $100 per sales seat monthly or $90 a month billed yearly. It requires an annual commitment and $1,500 onboarding.

Current quotes and signatures need Revenue Hub access. Confirm the hubs and seats needed for handoffs.

Pipedrive for deals and next actions

Pipedrive suits tracking known contacts, deals and follow-ups. Lite includes pipeline, leads, contacts and calendars. All plans include Nova meeting transcripts, summaries and suggested CRM updates.

Yearly billing starts at $14 per person per month for Lite. Growth is $39 and Premium $59 on that basis. Monthly billing prices remain unconfirmed here.

Sequences and scheduling start at Growth. Smart Docs proposals and signatures cost extra on Lite and Growth. They’re included on Premium and Ultimate.

Calls use outside phones or apps. LeadBooster’s Prospector finds contacts and companies by location using credits. Test the whole contact-to-signature task and price every add-on.

Close for outbound calling

Close puts calls, email and SMS beside lead records. Growth adds workflows and a power dialer; Scale adds predictive dialing. Activity leaderboards compare selected sales measures.

Solo covers one person at $19 monthly or $9 a month billed yearly. Essentials is $49 monthly or $35 a month billed yearly per person. Growth is $109 monthly or $99 a month billed yearly per person.

Solo and Essentials lack automatic workflows. Phone usage and numbers cost extra. Call Assistant costs $50 per account monthly plus $0.02 per minute for call transcripts and summaries.

Meeting Notetaker is included on standard plans. Proposals need a Better Proposals subscription; booking can use Calendly. Test calls and include those services in your total.

Vendasta for resale and client tools

Vendasta suits marketplace product and service resale. Business App gives clients tools and performance reports. Shareable Snapshot Reports assess prospect websites and local marketing.

Limited free access supports exploration and resale. Starter has a $99 monthly minimum with one seat. Professional is $499 with five seats; Premium is $999 with ten.

Product purchases count towards the minimum after the first month. Professional and Premium require a year’s commitment. Starter is co-branded; client branding starts at Professional.

Test sales and delivery together. If moving to a sales-focused tool, plan where client products and reports will go.

Zoho CRM for configurable team records

Zoho CRM Free covers three people, activities and basic workflows. Paid Cadences automate follow-ups and can remove contacts on supported email replies.

Standard is $20 per person monthly or $14 a month billed yearly. Professional is $35 monthly or $23 a month billed yearly. Motivator adds games, targets, badges and leaderboards.

Cadences don’t track replies from public sender domains such as Gmail. Test your email setup. Signing needs paid Zoho Sign with a qualifying CRM subscription, or Zoho One.

List needed fields, actions and owners before setup. Test the workflow reps will use. More options don’t establish better fit.

Seven CRMs side by side

Entry prices don’t include every feature. Yearly figures are monthly equivalents paid yearly. ‘Check with them’ marks unconfirmed features; ask the vendor and test the named tools.

Choose in one week

Use one week as a planning example, adjusting for the access each company offers. Have the people doing the work test it. Include a colleague receiving the signed project if delivery is part of your choice.

  2. 02

    Days 3 and 4: test

Research a prospect, test sending with a colleague and build a proposal. Have future users check owners and permissions.

  3. 03

    Day 5: price the setup

Total seats, plans, add-ons, usage and commitments. Include delivery tools you’ll keep. Get written answers for unconfirmed features and prices.

  4. 04

QUESTIONS

Good to know

Q1

What is the best affordable CRM for a small agency?

Compare the people and features you need today. Attunr is free for one person, HubSpot for two and Zoho CRM for three. Paid automation and usage can change the total.

Q2

Which CRM suits an agency selling retainers?

Try going from first contact to a signed scope, then handing over the ongoing work. Attunr supports proposals with one-time and monthly amounts. Check your delivery needs on their own.

Q3

Should our CRM also manage our clients’ tools?

Only if client tools are part of delivery. Compare GoHighLevel and Vendasta, or Agency Pro for client hubs and white label. Check sales and delivery needs separately.

Q4

Is per-person or per-account pricing better?

Neither is always cheaper. Compare the number of people, required plan, usage and add-ons at your present size and the next team size you expect.

Q5

Do we need to move all our records before deciding?

No, try a small group and keep your original records. Attunr lets you match spreadsheet columns for imports, with opportunities imported on their own. Check the results before moving more.
