01 /SET UP THE RUN

Connect a sender and plan the steps

  1. 01

    Connect a mailbox

Use your host’s IMAP and SMTP settings. Presets include Gmail, Microsoft 365 or Outlook, iCloud and Fastmail. Other supported hosts can use custom server details.

  2. 02

    Build the steps

Mix email, call, LinkedIn and task steps, with waits between touches. Give each a purpose: a finding, a question or a useful example.

  3. 03

    Allow email sending

On a paid plan, enable autopilot and allow your connected mailbox to send. Email steps run within sending rules. Calls, LinkedIn actions and tasks remain yours to do.

02 /A REASON TO WRITE

Write about their business

Elena spots a quote option hidden on phones at Mesa Trail Auto Care. In this made-up Tucson example, she calls to ask how drivers enquire.

Her next email adds one suggestion. When the connected mailbox detects the owner’s reply, the run ends so she can answer their question.

Start with the follow-up email templates. Adapt the example and next step to the conversation you’ve had.

03 /SENDING RULES

Keep sender and timing consistent

01

Keep one sender per run

New conversations use an allowed mailbox with room and the fewest sends that day. Later emails to that lead keep the same sender.

02

Start new mailboxes slowly

Added mailboxes begin with a lower daily cap that builds up. Mailbox limits, provider limits and spacing between queued sends still apply.

03

Use the prospect’s time zone

Set sending windows in the prospect’s time zone. Defaults are weekdays, nine in the morning to five in the afternoon. Queue and provider conditions affect arrival.

04 /WHEN THEY ANSWER

Let replies change the plan

Detected replies stop the run. Detection depends on connected inbox sync, so timing can vary.

Unsubscribed leads cannot enrol. Check active, completed and stopped runs, with results by step, to see what needs attention.

05 /REUSE THE USEFUL PARTS

Reuse templates with personal details

Save openers, follow-ups and replies as templates. Supported fields fill lead, company, booking link and sender details.

Keep templates personal or share them with the workspace. Only the template owner can edit them.

Mailbox totals are one on Free, five on Starter, twenty-five on Team and seventy-five on Scale. Free cannot send sequences. See pricing for account allowances.

Add your booking page when a walkthrough is the next step. Explain what the owner will see before asking them to meet.

Give each follow-up a purpose

QUESTIONS

Good to know

Q1

Can I send email sequences on Free?

No. Sequence sending and autopilot require Starter, Team or Scale. Free can connect one mailbox.

Q2

Can email, calls and LinkedIn share one sequence?

Yes, along with tasks. Only email steps send themselves after you enable paid sending. You do the other steps.

Q3

Will the sender change on each follow-up?

No. New conversations are spread across allowed mailboxes. Each lead’s later emails keep the chosen sender.

Q4

Does it stop when someone replies?

A detected reply ends the run. Detection depends on connected mailbox sync.

Q5

Can I connect my existing mail host?

Use supported IMAP and SMTP settings or a provider preset. Some hosts need app passwords or administrator changes. Some Microsoft accounts block password access.
